The goal is not to turn kitchen staff into technicians. Commercial cooking, refrigeration, electrical, gas, and water systems can be dangerous to troubleshoot without proper training. Start With Safety, Not a Restart

First, identify whether the outage is isolated or facility-wide. Is one oven down, or has the entire cook line lost power? Is one refrigeration unit warm, or are multiple units affected after a power event? Check nearby equipment, relevant electrical panels from a safe distance, water supply, gas service, and any facility alarms. Next, verify the simple operating conditions that staff can safely check. Note any display messages or error codes exactly as shown. A photo of the control screen, model and serial plate, and the surrounding installation can save time once a technician is dispatched.

Then document what happened immediately before the failure. Did the unit trip during a cleaning cycle? Was there a recent power interruption? Did performance decline over several days? Were unusual noises, long recovery times, temperature swings, leaks, or repeated alarms noticed earlier? Protect Food, Service, and Sanitation

Equipment downtime is not only a repair problem. It can quickly become a food safety, menu, sanitation, guest-service, or patient-care problem. The right response depends on what failed and how long the outage may last.

If Refrigeration Is Affected

Keep refrigerator and freezer doors closed as much as possible. Every unnecessary door opening adds heat and shortens the safe holding window. Begin logging product temperatures with a calibrated thermometer and follow your established food safety plan for evaluating, moving, or discarding product.

Move product only when you have verified space in another unit that is holding temperature. Avoid overloading the receiving cooler or freezer, since poor airflow can create a second problem. Prioritize high-value and high-risk product, and label relocated items so staff can maintain rotation and traceability.

If a walk-in cooler, freezer, prep table, ice machine, or refrigerated display case is involved, report temperature readings and the rate of temperature change to the service provider. “The cooler is warm” is useful. “The walk-in rose from 38 degrees to 48 degrees in 45 minutes, and the evaporator fan is not running” is far more actionable.

If Cooking Equipment Is Affected

Pause use of the failed appliance and adjust production around equipment that remains safe and available. A broken combi oven does not always require closing the kitchen, but it may require changing the menu, batch sizes, cooking sequence, or service timing. Keep approved time and temperature controls in place. Do not substitute equipment in a way that creates unsafe cooking, hot-holding, ventilation, or electrical loads.

For fryers, grills, ovens, steamers, steam tables, and other heated equipment, allow hot surfaces and oil to cool before moving or cleaning around the unit. If an outage involves grease, water, or a gas odor, isolate the area and prevent staff from treating it as a routine inconvenience.

If Warewashing Is Affected

A dish machine outage can stop a facility even when food production equipment is working. Verify whether the issue affects final rinse temperature, water supply, drainage, chemical dispensing, or the machine itself. Do not rely on visual cleanliness alone when sanitation requirements are not being met.

Use your approved backup warewashing process if one exists, including manual wash, rinse, and sanitize procedures. If the operation cannot maintain required sanitation, reduce service or pause affected activities rather than creating avoidable health and compliance exposure.

Call for Service With the Details That Matter

A service call moves faster when the technician receives a complete picture before arrival. Provide the equipment type, manufacturer, model and serial number, exact error code, symptoms, and the time the failure began. State whether the unit has power, whether it is heating or cooling at all, and whether the problem is intermittent or constant.

Also describe the operational impact. A hospital kitchen with a failed steam kettle, a school cafeteria with a down dish machine, and a hotel with a walk-in freezer issue may all need priority response for different reasons. Let the service coordinator know whether food is at risk, the kitchen is closed, a meal period is approaching, or there is no backup equipment.

If you have already taken actions, report those clearly. Include any reset attempts, breaker conditions, cleaning completed, temperatures recorded, and parts or repairs performed recently. Accurate information prevents duplicated work and helps the technician arrive prepared.

Avoid the Fixes That Extend Downtime

Pressure can lead to shortcuts, especially during peak service. These actions can damage equipment and create liability far beyond the original repair.

Avoid moving a heavy appliance to reach a plug, drain, or gas line unless trained personnel can do so safely. Commercial equipment may be hard-piped, secured to utilities, or connected through restraints that must remain intact. Likewise, do not stack pans, boxes, or supplies around refrigeration condensing units to hide the problem or make space. Restricted airflow can raise temperatures and strain the system.

Build Recovery Into the Restart

When repairs are complete, do not immediately assume normal production can resume. Confirm that the unit is operating through its normal cycle. For dish machines, verify wash and final-rinse operation, drainage, and sanitation requirements.

Record the repair, the cause if known, parts replaced, and any recommendations from the technician. If the outage followed a recurring symptom, schedule follow-up before the next failure. Repeated temperature alarms, slow recovery, tripped safeties, leaks, worn door gaskets, poor drainage, and inconsistent heating rarely improve on their own.
